Powertutors delivers bespoke, one-to-one tuition tailored to each student’s needs. Our mission is to make education achievable for all, working closely with families, schools, and local authorities to provide flexible, effective support.

This handbook is a quick-reference FAQ for day-to-day guidance. It complements the following documents:
Roles & Responsibilities
Tutors are responsible for:
- Delivering high-quality tuition
- Acting professionally at all times
- Following safeguarding and online safety guidance
- Maintaining appropriate boundaries
- Recording sessions accurately
- Communicating effectively with Powertutors
- Protecting student confidentiality (GDPR compliant)
- Continuing professional development
Full responsibilities are detailed in the Tutor Code of Conduct and Tutor Terms and Conditions.
Safeguarding, Child Protection & Boundaries
Refer to the Safeguarding & Child Protection Policy. All tutors share responsibility for safeguarding students.
Act immediately and follow policy steps. Report concerns without delay via safeguarding@powertutors.co.uk or call 01737 652 965 for urgent matters.
- Use only Powertutors-approved communication channels
- Do not share personal contact info with students
- Avoid gifts or social contact outside tuition
- Escalate any concerns about colleagues via the whistleblowing policy
- Use only approved platforms and password-protect sessions
- Do not record sessions unless authorised

Tuition Delivery & Session Management
A quiet, well-lit, distraction-free space with prepared resources.
- Remain calm, neutral, and consistent
- Use positive reinforcement
- Adapt tasks to engagement levels
- Document repeated patterns in reports
- Email enquiries@powertutors.co.uk and call 01737 652 965 immediately
- Inform the family and log the issue in TutorCruncher
- Reschedule if appropriate
- Follow school/family guidance for medical incidents
- Contact emergency services if necessary
- Inform Powertutors immediately
Planning, Reporting & Progress
Lessons should be:
- Planned for age, ability, and SEND profile
- Purposeful, flexible, and responsive
- Based on SMART objectives
- Multi-sensory when appropriate
- Build rapport and a safe learning environment
- Manage engagement professionally
- Adapt teaching as needed
- Observe and note key learning behaviours
Yes. Submit a report after every session within 48 hours. Non-submission may affect payment.
- Date and session length
- Topics/skills covered and learning objectives
- Student engagement and explanation
- Strengths and difficulties
- Strategies used and next steps
- Safeguarding or wellbeing concerns
- One per student per term (additional reports may be requested)
- Include attendance, subject coverage, academic progress, engagement, social/emotional development, strategies, challenges, next steps
- Based on lesson reports, work samples, and observations
Professional, accessible, strengths-based, objective, and specific
Changes, Cancellations & Ending Tuition
- Give 48 hours’ notice for tutor or client cancellations
- Exceptions: illness or emergency
- Late client cancellations may be chargeable
- Late tutor cancellations may affect payment or future allocation
- Notify Powertutors immediately
At least four weeks’ written notice. Shorter notice may affect payment unless agreed.
- Delete student personal data unless retention is required
- Ensure lesson records are complete
- Submit a final end-of-tuition report
- Safeguarding responsibilities continue after tuition ends
Payments, Timesheets & Invoicing
Submit via TutorCruncher with hours worked and brief notes on content.
Monthly in arrears, seven working days after the end of the month.
Late submissions may delay payment.
Late submissions may delay payment.
Communication & Requests
No. All changes must be approved by Powertutors.
Within 24 hours on working days.

Use the appropriate forms for accidents, behaviour, or safeguarding. Feedback forms are available to submit comments about students or processes.
Health, Safety & GDPR
- Conduct sessions in safe, ergonomic environments
- Store records securely and delete personal data at the end of tuition
- Protect student confidentiality
- Maintain professional boundaries online and offline
Appendices
FAQ Updates & Legal Notice
We may update this FAQ at any time to reflect changes to services, policies, or operational requirements, or to correct errors. The “Last Updated” date will reflect the most recent changes.
This FAQ is guidance only and is not legally binding. The Tutor Agreement and any written Powertutors policies are the governing documents. In the event of any conflict, those documents take precedence.
