Welcome & Introduction

This guide is designed to give self-employed tutors working with Powertutors quick answers to common questions about policies, responsibilities and practical arrangements. It sits alongside the Powertutors Code of Conduct and other policy documents, which are saved in your TutorCruncher profile and should be read in full.

  • For urgent issues, contact your Relationshiop Case Manager or anyone in the team.
  • If a session cannot go ahead due to technical difficulties, inform the family, log the issue with your RCM, and reschedule where possible.

Cancellation Policy

  • Delete all student personal data (unless legally required).
  • Safeguarding obligations continue even after the relationship ends.
  • Ensure all lesson reports are complete and submit a final end-of-tuition report.

Notice will be confirmed at the start of engagement. As a guide, give at least 4 weeks written notice. Shorter notice may result in withheld payment unless agreed with Powertutors.

Provide at least 4 weeks’ written notice where possible.

Both clients and tutors must give at least 48 hours’ notice, except in cases of illness or genuine emergency.

  • Late client cancellations may be chargeable.

Late tutor cancellations may result in non-payment and affect future work.
Tutors must notify Powertutors immediately so alternatives can be arranged.

Support

  • Resource Hub – CPD and SEN guidance.
  • Education Lead – SEN and teaching strategy support.
  • RCM – first contact for operational queries.

General Questions

  • Wait at least 15 minutes.
  • Try to contact the parent/guardian.
  • If still absent, mark as “no-show” in the system and notify your RCM.
  • Apply the Cancellation Policy (usually chargeable if no notice).
    ⚠️ If there are safeguarding concerns, report immediately under the Safeguarding Policy.

Follow the Safeguarding & Child Protection Policy immediately.

Agree a new time with the parent/guardian, notify your RCM, and update the system.

Do not agree directly. Politely explain that all requests must go through the RCM. Additional hours are only confirmed once reviewed for safeguarding, learning plan, and funding approval.

Inform your RCM and update your details in the tutor system.

  • Notify the parent/guardian and your RCM immediately.
  • If at a school/venue, also inform staff.
  • Record the delay in the system.
  • Agree whether to proceed, reschedule, or extend the time.

Inform Powertutors immediately.

TutorCruncher Profile

Your TutorCruncher profile is your central hub while partnering with Powertutors. It stores your professional and compliance information, and is used for lesson scheduling, reporting, tutor-student matching, and invoicing.

Please use the link below for step-by-step guidance on completing all elements of your TutorCruncher profile. During onboarding, your status will be marked as ‘Pending’. Once your documentation has been verified, your status will be updated to ‘Approved’, enabling you to express interest in tutoring opportunities.

Navigate to the ‘My Profile’ tab on your TutorCruncher Dashboard and enter your bank details in the ‘Payout Bank Account’ section.

On the left-hand side of your TutorCruncher Dashboard, select ‘Documents’. You’ll find policies including ‘Safeguarding and Child Protection’, ‘Keeping Children Safe in Education’, the ‘Code of Conduct’, and the ‘Tutor Terms and Conditions’.

Using TutorCruncher

Tutors are expected to uphold safeguarding, act professionally, and support learning progress through engaging and purposeful lessons. Further guidance is available in the Tutor Code of Conduct, Terms and Conditions, and Safeguarding Policies.

Tutors should create a safe, respectful, and focused environment while maintaining professional boundaries and adapting to each student’s needs.
